Yes, if a client has appropriate licensing, and the system is configured properly.
Can Purview be used to collect meeting recordings and transcripts?
Yes, as of October 2024, meeting recordings and transcripts are stored in the meeting organizer's OneDrive (previously, they were stored in the Exchange account of the user who enabled the recording).
Should regulated companies enable meeting recording and transcription features within M365?
The decision to enable recording and transcription features (or any feature within the M365 platform) should account for the business, legal, and regulatory requirements. For recordings and transcription specifically, the business need should be weighed against the information governance and eDiscovery implications, where the volume of data generated and need to preserve and collect the data will increase. Any costs and risks should also be evaluated against risk mitigation options, including for example, options for retention and deletion of data once it is no longer needed.
Can you archive cloud attachments to a third-party tool (e.g., Smarsh, Proofpoint)?
The ability to archive attachments (either last version or the contemporaneous version) will depend upon many factors, including the capabilities of the source system to retain, collect, and export those attachments (which is driven by licensing and configuration) and the capabilities of the archival system.
What are common message archiving problems with Teams and Exchange?
(1) The archiving of cloud attachments, the capabilities for which will depend on the source system and archiving system (per the above).
(2) Challenges archiving certain features contained within the communication, such as emojis, likes/dislikes, etc. Modern communications are "feature rich" but the ability to collect, export, ingest and manage many of these features is limited.
Can you ingest third-party chats (e.g., Bloomberg) into Purview for archival purposes?
Yes, Microsoft offers an API for many third-party communication tools. These are available in the Purview Portal.
Can M365 or Purview serve as the system-of-record for Microsoft email and chat (e.g., Teams, Outlook)?
Yes, if the company has the appropriate licensing to support its business, legal and regulatory requirements, and the system is configured properly, it can.
